1. What this authorisation covers
You're commissioning a portrait of your companion animal, which means sending us photographs and letting us use them.
This document sets out two separate permissions. Please read them apart:
- First: what we need in order to make the piece (section 3)
- Second: what we ask in order to photograph and show it once it's finished (section 4)
The second one has a way out. See section 5.
2. What you confirm when you send photos
When you send your materials, you're confirming:
- The animal in the photos is yours, or you have the right to use them. If the animal belongs to someone else in the family, you have their agreement.
- If a third party took the photos, you have permission to use them. Copyright in professional photography usually sits with the photographer. If you're sending their work, please confirm you have their permission, or a licence covering custom-made pieces.
- The photos don't contain anything you can't authorise. For example another person's likeness, someone else's home, or protected work.
- You're 18 or over, or you have a guardian's consent.
3. First layer: permission to make the portrait
You authorise us to:
- Use the photos you provide to make this 1:1 life-size portrait
- Share them with the people doing the modeling and the handwork
- Process them as needed for the work — cropping, colour correction, enlarging detail
- Send you progress photos during the process
This permission covers one commission only. It's what we need to do the job, and it ends when the commission ends and the piece is delivered.
4. Second layer: permission to show the work
When the piece is finished, we photograph and film it.
You authorise us to use that footage:
- On the studio website, in the gallery and case pages
- On social media (Instagram, Facebook, Pinterest, TikTok and similar)
- In content made from it — process films, photo essays, collections of finished pieces
This permission comes with the commission; there's nothing extra for you to do. Its limits are clear:
- It shows the piece only, never your name, email, phone number, address or order details
- We don't publish the photos you sent us — only images we shoot ourselves of the finished piece
- If you've left us a written review, we'll quote it as "a client" or ask you first
You can withdraw this permission at any time. Section 5 explains how. Withdrawing it doesn't affect your commission and costs nothing.
5. If you'd rather it wasn't shown
You can tell us you'd prefer the piece not to be public — when you commission, while it's being made, or any time after it arrives.
Once you do:
- We mark the commission as private and publish nothing further
- We take down anything already published within 7 business days
- Your commission carries on as normal, at no cost, and with no change to how the piece is made
One email to service@hihuahua.com is enough. You don't need to give a reason.
6. What we won't do
Whatever the permissions above, we won't:
- Pass your original photos to anyone outside the studio, other than the people making the piece
- Use your photos or images of the piece to train models or generate synthetic material
- Transfer, sell or license your photos or images of the piece to anyone else
- Make the same portrait, or a closely similar one, for another client
7. How we store it, and when we delete it
- Photos and modeling files sit in an access-controlled internal system, open only to the people making the piece
- We keep photos and modeling files for 12 months after the piece is finished, for order enquiries and after-sales checks — for example, if a material or workmanship fault comes up, we need to compare against your originals
- After 12 months we delete the original photos and modeling files, keeping only the order record (amount, date, delivery details)
- You can ask us to delete them sooner at any time by emailing service@hihuahua.com
Images of the finished piece that have already been published are covered by the withdrawal process in section 5.
8. If a rights claim comes up
If a third party says the photos you sent infringe their rights, you handle it and carry the responsibility. We'll provide whatever information is needed, but we don't accept liability.
If we're claimed against because we used photos you sent, you agree to cover our reasonable losses.
If we find a clear rights problem — obvious copying of someone else's work, for instance — we may pause the commission and handle it under our Refund & Cancellation Policy.
9. Who owns the finished piece
The finished piece is yours. Once the balance is paid and the piece delivered, it belongs to you.
The design files stay with us. 3D models, process and technique are the studio's technical assets and don't transfer with the piece.
